Nyctophobia will run
three to four main events annually
usually within the months of April, June, August & October. These events will typically start at 7pm on the Friday and finish at 3pm on the Sunday.
A clear demarcation will be made between IC and OOC areas; for the purposes of play, all IC areas and anyone within them will be assumed to be acting under time-in conditions unless otherwise advised.

Once we have received your mail, we
will contact you to discuss your
character requirements. We will be
able to discuss with the background you require
for your character and to enable you
to portray your character in the game.
If you are under 18 then you will need to be accompanied by someone over that age who is willing to act as your guardian for the purposes of the event.

Crewing
If you’d like to crew, then you should mail us at crew@nyctophobia.org.uk with your contact details and the thought of activities you would like to be involved with. A member of the Event team will contact you.
If you wish to crew
there is a charge of £10 to cover
food and site hire. Alternatively if
you assist in setting up and taking
down at the event you can crew for
no charge.

To qualify for a pre-book charge, we must
receive your booking fee no later than 1 calendar month prior to the event
you are booking.
For
Players the
Standard charge applies to all
payments received up to 2 days
before the event. If payment is
received after this then the gate
charge applies.
As part of your fee, a main meal will be provided on the Saturday. Additional food will offered by the caravan at our discretion depending upon the facilities provided by the site.
Refunds will only be
made in exceptional circumstances,
at the discretion of the Nyctophobia
Committee.
Cancellations will incur a 25%
booking fee.
Discounts
A discount of £5 is available to NUS members/unemployed on proof of status.
If
you encourage brand new
players to come to a Nyctophobia
event you will receive a £10
discount against your next booking
for each new player that attends on
your recommendation.
A further £10
discount off your next event is
available to both players and crew
if you help with either setting up
at the start of an event, or taking
down at the end. To qualify for
this discount please let your player
rep know before the event that you
will be able to help out and be
available at the event for at least
2 hours to assist with set up/take
down. If you are able to help out
then you will qualify for £10 off
the following event.
Membership
All those who wish to take part in a Nyctophobia event must become a member of the organisation for that event. A form will be available upon your arrival for this purpose.
Sleep
Whilst this game is permanent time in from 7pm Friday to 3pm Sunday, we don’t expect that you must stay awake all the time. If you have access to one please bring along an in-character tent, (re-enactment style), if you are in doubt about what might be appropriate in the caravan,
then ask us. Please bear in mind that everything in an in-character tent really is there, so unless you have a large locking chest, to hide them away, you may wish to bring a small modern tent also to keep your clothes, toothbrush, camping gear etc in. We also ask that you pay suitable attention to how the tent is lit, battery/gas lanterns are not acceptable and naked flames
are dangerous, candle lanterns are the easiest/cheapest solution. You also need furs/blankets.
Most people will bring a modern tent, which will always be in a separate out of character area, which should also contain all your modern items at all times. When you step into the game area, your clothes, pouches, food, etc must be in keeping with a world similar to 13thC earth. So leave your cool bag of pasties, cans of lager and mars bars in your out of character area, all characters have to relieve themselves sometime and its strange how often they end up returning with a tankard of frothy ale!
Please note that cans of beer are not acceptable in the IC
area.
Costume
Not everyone will have a costume that is so authentic they could go back in time and no-one would notice the difference, but we do expect a large effort to be as convincing as possible, it should be in-keeping with your race and character type, comfortable enough to wear for two days and warm enough to wear at night. If you don’t have a thick wool cloak its probably time to get one. We may be able to help with costume, so talk to the referee when you book if required. Don’t forget a pouch or two for your coins.
We would ask that you refrain from bringing anything into the IC area that is obviously modern in origin. If you do so, you will be asked politely to remove yourself from that area and will not be allowed re-admittance to the IC area until the offending articles have been removed.
Utensils
There will be fires, so if you have something you can heat up water in, then you can have that cup of tea you desperately need. (Remember a wooden bowl to drink it from). A wooden spoon and bowl would also be a good idea to ensure that you can enjoy the caravan’s hospitality. You will also need a tankard and/or a goblet even if you don’t intend to drink alcohol.
Food and drink
Whilst there will be some in-character sustenance on the Saturday night and sat/sun morning it will not be enough to sustain you for the whole weekend and so you should bring some along, if you can cook it authentically on a fire that’s great, otherwise pasties, sandwiches etc. will keep you going.
Props/accessories
Most characters will have a weapon or two, which MUST BE of the safe latex variety and checked by a ref, but unless you want to be considered a 2D character that exists just to hit things, you are going to need other items to help you, such as quills, tools of your craft, a letter, a piece of jewellery, a wooden box to hold cigarettes so you don’t ruin the environment with a Marlboro packet. Whole campaigns have been set around a single prop, used well with some history.
If you are uncertain if something is acceptable in the in-character area, check with a ref first.
Health
If you need specific medicines, inhaler, insulin etc. please bring them, this is a rare exclusion to the “nothing modern in the IC area” and anything else you require from a comfort point of view is also your responsibility.
If this applies to you, then we would ask that you provide us with contact details for a next of kin in case of a medical incident.
